Customize your registration confirmation email

Edit the subject and message of the automatic email registrants receive after they register, and resend it to one registrant.

As an organizer, you can customize the confirmation email that Fourwaves sends automatically to each registrant when their registration is created. You can change its subject and its message.

Note: customizing confirmation emails and the Communication > Emails page are available from the Essential plan. Without it, registrants receive the default email.

Where to find the confirmation email settings

  1. In the event dashboard, go to Registration > Form.

  2. Click the Confirmation email tab.

  3. Edit the Subject and the Message.

  4. Click Save changes.

What you can edit

Subject

The default subject is "Registration confirmation". You can replace it with any text, but you can't leave it empty.

Message

The default message says hello to the registrant by their first name and thanks them for registering. The editor has bold, italic, underline, subscript, superscript and links.

To insert information that changes for each registrant, click Variables. You can insert:

  • Event name, Event start date and Event end date;

  • Event website link, Registration form link and User profile link;

  • the answers to most fields of your registration form, shown with the short label of each field.

Replies

The sender of the email is your event's name. Replies go to the Contact email of your event, set in Settings > General. You can't set a different reply address for this email only.

Language

If your event is bilingual, the email has an English version and a French version. To edit one version, select its language with the language selector in the top bar of the dashboard. Then edit the email. Fourwaves sends the version in the language used to fill out the registration form. See Manage a multilingual event.

What the email always includes

Below your message, the email always has a Manage your registration section with an Access my form button. The registrant uses it to view or edit their registration in their Fourwaves account.

Payment details aren't part of this email. Registrants who pay receive their receipt or invoice in a separate email. See View and download invoices.

The email also includes a calendar file (.ics) for your whole event, so registrants can add it to their calendar. The file contains:

  • the event name, in the language of the email;

  • the event start and end;

  • the venue and address. Online events have no location.

The file has no description and no links. Its name is your event's Acronym, set in Settings > General, or the event name if you haven't set an acronym. The file is included on all plans, and you can't remove it.

When Fourwaves sends it

Fourwaves sends the confirmation email when a registration is created, by the registrant or by you for them. It doesn't send it again when someone edits the registration.

In these cases, the registrant receives a standard email that you can't customize:

  • A registrant on the waiting list receives "Waitlist registration confirmation". When you accept them from the waiting list, they receive an email with a link to finish their registration. They don't receive your confirmation email, and no waiting list email includes a calendar file. See Manage the registration waiting list.

  • If someone changes the email address of a registration to the address of another person, that person receives "Registration transfer".

Resend a confirmation email to one registrant

Every confirmation email is listed under Communication > Emails, where you can send it again. The registrant receives an exact copy of the first email, even if you edited the confirmation email after. Only the calendar file changes: it uses the current event name, dates and location. If the registrant already added the event to their calendar, the new file can add a second event, and they must delete the old one. If the first email had no calendar file, the resent email has none either. See Email communication status meaning.

Send new information to registrants

Editing the confirmation email doesn't change emails already sent. Calendar files already sent don't change either if you edit the event dates or location. To send new information to people who already registered, select them in Registration > Registrations and click Contact. See Send mass emails.

Need help?

If a registrant didn't receive their confirmation email, check its status under Communication > Emails. See Email communication status meaning. If something still looks wrong, contact support@fourwaves.com with the name of your event and the email address of the registrant.
