You added presentations to your program, but they don't show up for participants? Work through the checks below, in order.
1. Make the Presentations page visible
If the Presentations page is hidden on your event website, presentations won't appear in the program, even if they're assigned to sessions. Make the page visible first.
2. Check that the submission is accepted
If Show accepted submissions only is turned on in the visibility options of the Presentations page (Website), only accepted submissions appear in the program. Either turn it off, or accept the submission. To accept submissions, you need at least one presentation type. Check the decision in Submission > Submissions.
3. Check that the presentation is in a session
In the event dashboard, go to Program.
Find the session and check that the presentation is listed.
If it isn't, click Add presentation, select the submissions, click Add to sessions, then Next and Save.
See Add presentations to your program for the full steps.
4. Check that the program is published
Presenters can see when they're presenting only once the presentation is in your program and the program is published.
5. Check for withdrawn submissions
A withdrawn submission stays in its session on the online program, marked as withdrawn, but it no longer appears in the presentation list on your website. Remove it from the session if needed.
6. Allow time for the mobile app to update
Changes you make in the event dashboard are saved right away, but the Fourwaves mobile app updates on a schedule based on your event dates:
Event ongoing or starting within 24 hours: about 5 to 7 minutes;
Event starting within 7 days: up to about 1 hour;
Other active events: up to about 1 day.
There's no way to force a refresh. Only published events are synchronized. See How the Fourwaves mobile app syncs with your event.
Uploaded files are missing on the presentation page
The Poster, Slides, Figures and Video fields show by default. Other uploaded files don't. If a File upload field is missing, open the menu (...) next to the Presentations page in Website and select Edit visibility. Then select the field under Select which fields are visible and click Apply.
Presentations are in the wrong order
In Program, drag a presentation by its handle to its new position in the session. This works with or without presentation times. New presentations are added at the end of the session. Changing a submission number doesn't change the order within a session.
Times look different for some participants
On the event website, times display in your event's reference timezone. On the virtual platform, times adapt to each participant's own timezone, as detected by their browser. You can check the reference timezone in Settings > General.
Showing speakers and their bios
When participants open a presentation, they see its title, authors, affiliations, abstract and uploaded material. To show more:
Display extra submission fields on presentation pages: in Website, open the menu (...) next to the Presentations page and select Edit visibility.
Showcase keynote or invited speakers with photos and bios using the Speakers content block on any website page.
Add speaker details to the session description.
Poster sessions
Add posters to a session the same way as oral presentations. Use rooms to indicate where a session takes place. A room can be reused across several sessions.
Presenters: check your own presentation time
Log in with the email used on your submission, select the Participant role, then open the Submissions tab. Your time appears in the Presenting on column.
Still not showing?
If you've checked everything above and the presentation still doesn't appear, contact Fourwaves Support with the event name and the submission number.
