Frequently asked questions

Which variables of the registration form can be inserted in the name badge?

The variables include the registration form fields of the following field types: short answer, email address, single-select (radio and dropdown fields), multi-select (checkboxes), country list and tracks.

How do I add a registration field (status, affiliation, role) to the name badge?

Add the field as a variable:

  1. In the badge editor, click the badge text where the field goes.

  2. In the toolbar, click Variables.

  3. Select the field by its short label.

Badge editor with the Variables menu open in the toolbar, listing First name, Last name and Email

Each name badge shows the participant's answer. For a field with options, it shows the option's Short label, which you can edit in the registration form. Only the field types listed in the previous question appear in the menu.

Can I create name badges that look different for different participant types?

Yes. Generate the name badges one group at a time, each with its own logo or text:

  1. Go to Registration > Registrations, then click Filters.

  2. Filter by the field that holds the participant type, such as speakers or students.

  3. Click Apply.

  4. Select the filtered registrations, then click Actions > Generate name badges.

  5. Under Logos, choose 1 logo or 2 logos.

  6. Click a logo on the badge, then Replace logo.

  7. Upload the image for this group (PNG or JPEG).

  8. Edit the text if this group needs different wording.

  9. Click Save and continue, then Generate PDF.

Repeat these steps for each participant type. The generator keeps the last saved design, so replace the logo each time.

To only print the participant type on each name badge, add its field as a variable instead. Then generate all the name badges at once.

Can I make logo-only name badges?

Yes. Under Logos, choose 1 logo. Click the logo, then Replace logo, and upload your image. Delete the badge text. A logo can use up to half the badge height.

The generator keeps the last saved design for all organizers of your event. Add the text back before you print name badges again.

What happens if a participant is missing data for a variable?

If a participant is missing data for a variable used in the name badge, a "—" placeholder displays on their name badge. On the confirmation page, a Missing information found alert warns you of empty variables, and its Review affected name badges button lets you review them.

Who receives the name badge PDF and how do I download it?

Only the organizer who clicks Generate PDF receives the PDF, at their Fourwaves account email address:

  1. Open the email Your name badges are ready for download.

  2. Click Download name badges.

The link expires after 7 days. To get a new link, generate the name badges again.

Other organizers can open the same email in Communication > Emails. A colleague at the information desk can also generate the name badges if you add them as an organizer.
