Generate Certificates

Generate personalized certificates for participants and presenters.

Overview

Certificates can be generated from the Actions button in the registration and submission data tables.

  • For registrations, one certificate is generated per registrant.

  • For submissions, one certificate is generated per presenter. If no presenter is defined, the submitter is used instead.

The Editor

The certificates has an inline content editor allowing you to see the result as you edit. It also allows you to adjust layout and content options.

Page and Layout

  • Format: US Letter

  • Orientation: Landscape or Portrait

  • Horizontal alignment: Left or Center

  • Vertical alignment: Top or Middle

Logos and Signatures

Organizers can incorporate institutional branding and official signatures directly into the certificate design.

  • Logos: You can select to display no logo, 1 logo, or 2 logos. Each logo can be displayed in a standard or compact size.

  • Signatures: You can select to display no signature, 1 signature, or 2 signatures. Each signature block consists of a text with a signature font and a text box underneath for the signatory's name or title.

Content and Formatting

  • You can type any text you want in the main content area.

  • The formatting toolbar includes:

    • Six font sizes (three title sizes and three text sizes)

    • Bold

    • Italic

    • Underline

  • You can insert form variables that will be automatically replaced by the corresponding form values for each registration or submission.

Saved Template

Each event has two templates, one for registrations and one for submissions. These two templates are saved when you click Save and Continue in the editor.

  • If you entered an email subject and message in the Distribution step, it is also saved for future use.

  • If you try to exit the certificates editor with unsaved changes, a confirmation modal appears to warn you that you will lose those changes.

Note: for multi-lingual events, there isn’t a separate template for each language. Each event has only one template for registrations and one for submissions.

Preview

The preview mode allows organizers to review each individual certificate before distributing.

  • You can browse certificates by scrolling or searching by name.

  • When you click on a name, the preview scrolls directly to that certificate.

  • If there are issues, you can filter to show only certificates with problems. (See Issue Detection below)

Distribution

Once all issues are resolved, the organizer can proceed to the final Distribution step, where they can choose one of two methods:

Send by Email

  • Define the Subject and Message of the email.

  • Certificates are sent individually to each recipient with an attachment.

Download as PDF

  • Generates one PDF file for each certificate.

  • The PDFs are sent in a .zip folder to your email when it is ready.

Issue Detection

The system checks for issues whenever the certificate is saved and lets you know if something needs to be adjusted.

Issues can occur when:

  • Empty Variable Value: This occurs if a form variable was inserted into the certificate design, but the corresponding data field is empty for a specific registrant or submission.

  • Content Overflow: This occurs if the content, particularly a long variable value, exceeds the certificate's border or the designated text box area.

You can filter to see certificates with an issue.

Confirmation

The final step confirms :

  • How many certificates will be generated.

  • How many unique recipients will receive an email.

You can review this total before confirming.
