Submit to an event

Send your abstract or paper to an event from its website, and find your submission in your participant dashboard.

This article is for participants who submit their work to an event. As a submitter, you fill out the submission form on the event website, not in your Fourwaves dashboard. Your participant dashboard shows a submission only after you send it.

Organizers who add a submission for someone else: see Add or edit a submission on behalf of a submitter.

Open the Submission page

To find the submission form of an event:

  1. Open the event website. Use the link that the organizers shared, for example in their call for submissions.

  2. In the website menu, click Submission. The organizers can give this page a different name.

Under the page title, Submission deadline is shows the deadline date. The form closes at the deadline time, in the event's time zone.

Sign in or create an account

You must sign in to Fourwaves to submit. If you aren't signed in, the Login required to submit window opens on the Submission page.

  • If you have a Fourwaves account, click Sign in.

  • If you don't have an account, click Create an account.

For the steps, see Create or activate your Fourwaves account. If you can't sign in, see Trouble signing in?.

Register first, if the event requires it

The organizers can require a registration before you submit. In this case, Registration required shows under the Submit button. If this message doesn't show, you can submit without a registration.

Register for the event before you submit. Use the same email address on the registration form and on the submission form. A registration on the waiting list doesn't count.

Fill out the submission form

Each event creates its own form, so the fields change from one event to another.

  1. Check your name and email address. They come from your Fourwaves account.

  2. Type your email address again in Confirm email.

  3. Fill out all the fields with an asterisk (*). These fields are required.

  4. If the form asks for files, upload them. Wait until each upload is complete.

  5. Click Submit.

If a text field has a word limit, Words under the field shows your word count and the limit.

While a file uploads, Please wait while files are being uploaded. shows in place of the Submit button. For the file formats and sizes, see How to upload presentation material ahead of the event.

The form has no draft. Fourwaves saves nothing until you click Submit. If you close the page before, you lose what you entered.

Note: Keep the email address of your account in the form. If you change it, the Using a different email? window opens. Click Cancel: a submission with another email address isn't linked to your account.

Add the authors and the presenter

Most submission forms have an authors field, named Submission authors by default. The list is empty when you start. If you're an author, add yourself too.

  1. Click Add.

  2. Enter the author's First name, Last name and Email.

  3. Open the Affiliations list and click Add new. Type the affiliation and press Enter.

  4. If this author presents the work, select Presenter.

  5. Click Save.

The Affiliations list also shows the affiliations that you entered for the other authors. At least one author must be a presenter. Each author needs a different email address. To change the order of the authors, drag them in the list.

Each co-author receives an email with the subject "You've been added as an author to a submission". Co-authors see the submission in their participant dashboard, but they can't edit it: see Edit my submission.

Pay for your submission

Some submission forms have options with a price. If you select one, the button shows Continue to payment in place of Submit.

  1. Click Continue to payment.

  2. Under Payment method, select how you pay.

  3. Fill out the Billing address.

  4. If you have a coupon code, enter it in Coupon code, then click Apply.

  5. Click Pay now. If you selected Invoice payment, click Submit.

The confirmation page shows your Receipt number. You also receive a receipt or an invoice by email. The payment shows in the Transactions tab of your participant dashboard.

Check that your submission was received

After you click Submit, the Submission completed page opens. Your submission is received.

Fourwaves then sends a confirmation email to the address in the form. The sender name is the name of the event, and the organizers can change the content. Click Access my form in the email to open your submission.

If you don't get the email, look in your spam folder. Then check the email address in your submission, in your participant dashboard.

Find your submission in your participant dashboard

  1. Sign in to Fourwaves with the email address of your submission.

  2. Click your profile picture or your initials, then click Participant.

  3. Click the Submissions tab.

The list shows the submissions that you sent and the submissions that list you as an author. The Status column shows Submitted, Scheduled or Withdrawn.

If the list shows No submissions, check the email address that you're signed in with. It must be the address that you used on the form.

On the Submission page of the event, View submissions also opens this list, if your account already has a submission for this event.

Can't find the Submission page, or the form is closed

If the website menu doesn't show the Submission page, the organizers may have renamed it, put it in a group of pages or hidden it. Ask them for the link. Also make sure that you're on the website of the correct event, not of a past edition.

When you can't submit, the Submission page shows one of these messages in place of the form:

  • The submission period has not started. The page also shows the date when submissions start.

  • Submission period is finished. The deadline has passed.

  • Submission limit reached. The event can't accept more submissions.

  • The event has ended.

Only the organizers can open, extend or reopen submissions. Contact them directly.

Error messages when you submit

  • The user is not registered for the event. The event requires a registration before you submit. Register with the same email address, then submit again.

  • A submission already exists for this email address. The event accepts one submission for each person. To change your submission, edit it.

  • You must have at least one author who is a presenter. Edit an author and select Presenter.

  • Duplicate email addresses found. Two authors have the same email address. Give each author a different address.

  • The event does not accept new submissions. The form closed or reached its limit while you filled it out. Contact the organizers.

Who to contact

The event organizers manage the submissions: deadlines, form questions, decisions and exceptions. If they added a contact address, For questions, please contact shows it next to the form.

Don't send your submission to Fourwaves Support by email. Submit it through the form of the event.
