How to activate virtual poster sessions at my event?

This article explains how to activate virtual poster sessions for your event.

Use cases

The day of the event, participants will be able to have video conversations directly on Fourwaves. This can be used for:

  • Posters session.
  • Networking sessions.
  • Exhibitor/sponsor booths.

Make sure the feature is activated for your event

You know it's activated when you see a Virtual Poster Session section at the bottom of your Dashboard:

There you will see 2 things:

  1. The poster sessions in your schedule.
  2. A link to download an Excel file with statistics about your virtual poster session. More info here.

Note: If poster sessions are not activated, ask your representative at Fourwaves to activate it.

Add a session with a Virtual Poster Session room

You can define when the video conversations will be able to happen through the schedule page.

  1. Go to Website Pages -> Schedule.
  2. Click +Add session.
  3. Enter the session name, a description (optional), the date and time.
  4. Then click Create to create a new room.
  5. Give it a name, then under Live stream, choose Virtual Poster Session.

How to confirm everything is activated at the right time?

Through the Dashboard page, in the Virtual Poster Session section, the times when the video conversations will be enabled are displayed.

How to activate virtual poster sessions at my event?

How to activate the video conversation for certain posters or presentations

When there are no presentations assigned to a session, the video conversation button will appear for all publicly available posters/presentations listed on your event website:

If you would like to activate the video conversations only for certain posters, click on Add presentation and choose which ones. See this article for more information.

In the example below, the video conversations will be activated only for 5 presentations:

Frequently asked questions

Can I reuse the same room for multiple sessions?

Yes! You can reuse the same room in your schedule for multiple sessions, as long as the time for those sessions don't overlap.

Do video conversations automatically stop when the session ends?

No. If participants are in a video conversation, the conversation will not automatically close, but it won't be possible to start new conversations.

Can I extend my virtual poster session while it is ongoing?

Yes you can change the time the session ends to extend it, even while the poster session is ongoing.
