The Mass Edit feature allows you to update multiple registrations or submissions at once. It's ideal when you need to apply the same change across a group of participants or submissions quickly.
How to Use the Mass Edit Feature
Go to Event Data → Submissions or Event Data → Registrations.
Select the entries you want to update by checking their names. You can use the filters to find the entries that match your criterias.
Click on “Edit” at the top of the table.
Choose the field from the registration or submission form that you want to update.
Enter the new value or make the desired change.
Click Next. A confirmation step will show you any warnings or errors (see below).
Click Save to apply the change to all selected entries.
Note: Once saved, these changes are not reversible.
What Triggers an Error (Edit blocked)
Errors will stop the mass edit from being applied. This happens when:
You remove a paid choice for which an invoice was issued (paid or not).
You add an item where the quota is already full.
What Triggers a Warning (Edit allowed, but flagged)
Warnings don’t block the change, but let you know the field may have an impact. This includes:
Removing a value from a required field.
Adding a paid item, which flags the registration or submission as unpaid until payment is completed.
Modifying a conditional field, which could impact visibility of other form elements.
Selecting an option linked to an availability period, which may no longer be active.
Which Fields can be Edited
All fields added in the registration and submission form can be edited, except for:
First name, last name and email fields.
File upload fields, including: poster, slides, videos or figures.
Submission title, authors and abstract.
In addition to the form fields, you can also mass edit:
The visibility of the presentations ("Public" column in the submissions table)
The visibility of the participants ("Public Profile" column in the registrations table)
Note: You can mass edit decisions using the "Edit decisions" action. See this article.
Best Practices
Double check the list of entries selected and the new values selected as changes are irreversible.
Consider exporting your data beforehand if you want a record of the original values.
Communicate with affected participants if the changes impact their registration status or fees.
