Add administrators to your organization

Add colleagues as administrators of your organization from the Users page, and remove an administrator when needed.

As an administrator, you can add colleagues as administrators of your organization from the Users page of the organization dashboard. An administrator manages the organization and all its events.

If you don't have an organization yet, create an organization first. You become its first administrator.

What an administrator can do

An administrator has organizer permissions on every event of the organization, including chair and track chair permissions. You don't need to add them to the committee of each event.

An administrator also manages the organization:

  • its users;

  • its plan and billing;

  • its payment gateways and transactions;

  • its settings and API keys.

You can add administrators with every plan. With the Pro plan, you can instead add a person to the committee of one event. They then have access to that event only. See Add an organizer to your event.

Add an administrator

  1. In your profile menu, under My dashboards, click Organizer. The organization dashboard opens.

  2. Click Users. The Organization admins tab opens.

  3. Click Add. The Add administrator window opens.

  4. In Email address, enter the email address of each person. Separate the addresses with a comma, a semicolon, a space or a line break.

  5. Click Add.

The person is an administrator as soon as you add them. They don't need to accept an invitation.

If the person was an organizer or a program chair of an event of the organization, Fourwaves removes that role from the event's committee. The administrator role already includes it.

Only administrators can open the Users page.

What the new administrator receives

Each person you add receives the email You've been added as an administrator. To open the organization dashboard, they click Go to organization in the email.

If the person has no Fourwaves account

If no Fourwaves account uses the email address, Fourwaves creates an account with it. The person clicks Go to organization in the email, then follows the steps to activate their account. After the activation, the organization dashboard opens.

Until the person activates this new account, the Organization admins tab shows Account pending activation instead of their name.

The link in the email is valid for 30 days. If the person clicks an expired link, Fourwaves sends them a new activation link by email. If they can't find the email or can't sign in, see Trouble signing in?

Remove an administrator

  1. In the organization dashboard, click Users.

  2. On the Organization admins tab, click the trash icon next to the administrator.

  3. Click Remove.

The person no longer has access to the organization and its events. Fourwaves also removes them from the committee of every event of the organization. If they are a reviewer of an event, they stay a reviewer. But Fourwaves removes their tracks of expertise, so assignment by track no longer selects them.

You can't remove yourself. You can't remove the last administrator of the organization.

See the organizers of your events

The Event organizers tab of the Users page lists the organizers, program chairs and track chairs of your organization's events. To see the events of a person, click the link that shows their number of events.

To remove a person from the committee of all your organization's events, click the trash icon next to their name, then click Remove. If the person is also an administrator, this removes their administrator role too. Fourwaves also removes their tracks of expertise.
