Finance administrators can delegate payment gateways to external organizations. This allows external partners to collect registration payments for their own events using your gateway credentials.
Delegating a gateway is different from using sharing codes:
Automated flow: Delegation is fully self-serve. Once authorized, external organizations can link the gateway to their events immediately.
No manual approvals: You do not need to manually approve each individual event that links to your delegated gateway.
Delegate a payment gateway
Follow these steps to share your payment gateway with an external organization:
Go to your payment gateway.
Open the Delegations tab.
Click Delegate.
Enter the email address of the external administrator to send the invitation.
You can monitor the status of pending and active delegations at any time from this dashboard.
Accept a delegated gateway (external admins)
External administrators must complete these steps to accept and start using the gateway:
Open the email invitation and click the single-use invitation link.
Select the target organization to assign the delegated payment gateway to.
Confirm the assignment.
The delegated gateway is now visible in your dashboard with restricted, read-only permissions to protect the original credential details.
Limitations
Currency restrictions: Event organizers cannot change the default currency of an event once it is linked to a delegated payment gateway.
Visibility of linked events and transactions
The organisations to which the payment gateway was delegated to can only see their events linked to this payment gateway. Organisations that own the payment gateway can see all events across all organisations to which it was delegated to.
The same applies to transactions, the owner sees all transactions and the organization to which the payment gateway was delegated to only see the transactions of their events.
Pull reports on the request form data
When an event is linked to a payment gateway, some information might have been collected through the request form. For example, accounting codes, project codes, or any other accounting information that can be helpful for bank reconciliation. This data is not visible in the transaction data table in the organization dashboard. It is only visible when you export the transactions to Excel from the organization dashboard.
If you have multiple fields that have the same short label for different payment gateways, they will be merged into the same column in the Excel report. For example, if you have a field in the request form for Payment Gateway 1 and Payment Gateway 2 called Accounting code, only one single column in the Excel report will show with the name Accounting code.
