Collect Abstract Revisions and Full Papers After Review

This article explains how to run a second submission round to collect revised abstracts or full papers from accepted submitters after the review phase.

After the review phase, you may want to collect revised abstracts or full papers from accepted submitters. Fourwaves allows this using the “Submissions can be edited once accepted” setting.

Typical workflow

  1. Open the submission period and collect initial abstracts

  2. Run the review process and assign decisions

  3. Enable editing for accepted submissions

  4. Notify accepted submitters to update their submission

Enable Post-Acceptance Editing

  1. Go to Website Pages > Submission.

  2. Click Settings.

  3. Toggle on Submissions can be edited once accepted.

Once enabled, submitters whose submissions have been accepted will be able to log in and edit their submission.

Accept Submissions First

Editing is only available for accepted submissions.

To assign decisions:

  1. Go to Data > Submissions

  2. Use the decision tools to mark submissions as accepted

Make sure you have at least one presentation type configured.

Collecting Full Papers

If you want to collect a full paper or extended abstract as a separate file:

  1. Go to Website Pages > Submission

  2. Open the form editor

  3. Add a File Upload field (for example, “Full Paper” or “Revised Abstract”)

  4. Set the field as optional to keep the original abstract intact

  5. Save the form

Accepted submitters will see this new field when they log in to edit their submission.

Notifying Submitters

Contact submitters directly through Fourwaves via the Submission table.

Steps

  1. Go to Data > Submissions

  2. Filter by Accepted submissions

  3. Select the relevant submissions

  4. Select Contact to contact them

  5. Include instructions to revise their abstract or upload their full paper

  6. Add the variable %SUBMISSION_FORM_LINK% to provide direct access to their submission
