Refund a Specific Item

Overview

The Cancel Item feature lets you cancel and refund a specific item within a participant’s registration, without affecting the rest of their registration.

This is useful if a participant wants to:

  • Cancel a workshop, add-on, or ticket option

  • Receive a partial refund while keeping their main registration

  • Make adjustments after completing their registration

When issuing a refund, the system automatically calculates the tax breakdown, so no manual calculations are needed.

How to Refund a Specific Item

  1. Go to Event Data → Registrations

  2. Open the participant’s registration

  3. Locate the item you want to refund

  4. Click Cancel Item next to that item

  5. Review the details in the modal window

  6. Choose whether to issue a refund

  7. Enter the refund amount

  8. Click Next, then confirm the cancellation

Refund Options

When cancelling an item, you’ll be asked:
“Would you like to issue a refund?”

No Refund

Select No if you only want to remove the item without returning any money.

  • The item is cancelled

  • No financial adjustment is made

Partial or Full Refund

Select Yes to issue a refund.

An Amount field will appear where you can enter how much to refund.

  • You can refund part of the item or the full amount

  • The system automatically calculates taxes (GST) and updates the summary

Example

If a participant paid $362.50 total and you enter a $200 refund:

The system splits subtotal and tax proportionally based on the refund amount.

Refund Amount Validation

To prevent errors, the Amount field follows these rules:

  • Must be greater than $0.00

  • Cannot exceed the original item total

  • The Next button stays disabled until the amount is valid

If the amount is invalid:

  • You’ll see an error message

  • The refund values reset to $0.00

Important Notes

  • Refunds are processed through the original payment method

  • Once confirmed, refunds are not reversible

  • Cancelling one item does not affect other items in the registration

Tips & Best Practices

  • Double-check the refund amount before confirming

  • For a full refund, enter the exact total shown for that item

  • For offline payments (e.g., cheque or bank transfer), process refunds outside the platform
